College Manager

Job Purpose

We are Seeking to appoint an enthusiastic and motivated College Manager to join our senior management team. The post holder has an important contribution to make to the success of the College and of its students, with overall responsibility for all aspects of Student Services, Operations, Academic Administration, HR and Student Finance within the college. The College Manager has direct line management responsibility for a number of Senior Administrators, currently 4 Full Time colleagues, as well as overseeing the wider team of an additional 11 Administrators, and works closely with college academic Heads of Departments, DMU Faculties and Departments as well as Oxford International Education Group’s Head Office

Based at the heart of De Montfort University’s campus, DMUIC offers a wide range of courses to international students, all of which, upon successful completion, allow progression to a variety of university Degrees, both Undergraduate and Postgraduate, at De Montfort University. Main duties & Responsibilities

To manage and oversee the college’s administrative and welfare operations to best ensure the student experience, cooperation with DMU and the operations of Oxford International Education Group, in particular

Student Services

Develop, lead and co-ordinate the college’s frontline services for students
Providing / enhancing student welfare services within the College, and ensuring students are informed and have access to the specialised student services provided by DMU
Lead on collection and collation of Student feedback for internal reviews, validation and accreditation processes.
Oversight of enquiries in person, over the telephone, and by email
Monitoring the maintenance of staff and student notice boards (physical and online)
Design and provision of student pre-arrival information
Devising the student induction programme per major intake, ensuring that students know about local transport, shopping facilities, how to register with a doctor and how to open a bank account
Liaising with DMU colleagues to coordinate registration activities
Arranging and leading student social events and activities
Maintaining student records
Liaising with external agents, Admissions colleagues, central pre-arrival team and other OIEG Departments
Ensuring the operation of the College Board
College Operations

Managing the College Director’s diary, and assisting with scheduling of his meetings and appointments
Monitoring and reporting issues with College facilities, such as classrooms and ICT
Contributing to College Health & Safety
Recruiting new staff members, including advertising, interviewing and the production of staff HR files, maintenance of training records & associated paperwork
Monitoring the purchase and distribution office supplies, stationery, books and other resources necessary for the work and functioning of DMUIC
Monitoring & Collection of student fees
Collating post-arrival, module and programme level feedback
Maintaining and updating College policies and processes as required
Academic Services

Updating programme / staff handbooks
Production of reports for the College Board, the Joint Academic Board, and the Module and Programme Assessment Boards
Ensuring the collation and maintenance of information relating to Bad Academic Practice and Academic Offences
Ensuring the production of assessment schedules & booking rooms
Processing hard copies and electronic versions of assessments, and acting accordingly when a student fails to submit an assessment, or is late submitting
Assessment oversight and collating associated paperwork
Preparing and distributing student reports
Production of student timetables and registers
Monitoring student attendance, recording, reporting and acting as appropriate
Maintaining a record of Assessment outcomes & liaising with DMU regarding such.
Team Management

Lead, inspire and motivate administrative staff to deliver high quality performance in all areas.
Line manage, support and develop administrative colleagues as appropriate.
Lead the recruitment, induction, development and performance management of Student Services / administrative staff, as appropriate.
Ensure the employment, training and deployment of Student Ambassadors
Promote a collaborative working environment between administrative & academic colleagues to maintain and enhance the quality of the student experience and the overall college environment.
Be responsible for student welfare and administration policies, priorities and objectives.
Additional

Provide the College Director with advice on all non – academic matters in light of commercial imperatives and financial targets.
Use management information effectively to contribute to the continuous improvement of college systems and processes.
Contribute to the annual review and the quality assurance for all programmes in conjunction with senior management, colleagues and DMU.
Contribute to the regulation of expenditure in the college.
Assist the implementation of the college’s policies.
Maintain good relationships with DMU colleagues.
Work across OIEG on college issues and projects as appropriate.
Liaise with all relevant stakeholders in relation to all non – academic issues.

Qualifications

Undergraduate Degree, or substantial relevant experience
Postgraduate Degree
Administration qualification
Current First Aid Qualification

Knowledge & Experience

Management experience
Experience of working in a busy, office-based administrative role
Experience of providing face to face customer service
High levels of IT literacy, in particular, data handling skills & Microsoft Excel
Ability to present information effectively using a variety of methods
Awareness of confidentiality, data protection & safeguarding
Experience of contributing to service & process improvements
Experience of working with international students/non-English speakers in a professional setting
Experience of working in an FE/HE environment
Knowledge of relevant external & university services utilised by staff & students
Basic knowledge of Tier 4 regulations
