Requirements:

  • Experience: Minimum of 1 year of professional experience as a virtual assistant, admin assistant, or similar support role; industry experience in photography, creative arts, interior design, or sustainable living is highly preferred.
  • Organization & Detail Orientation: Extremely organized, thorough, and attentive to detail, with the ability to manage multiple projects and priorities while maintaining accuracy and follow-through.
  • Communication: Strong written and verbal communication skills with a polished, client-facing tone and a collaborative approach to teamwork.
  • Design Aptitude (Preferred): A good eye for aesthetics and layout; proficiency with design tools or platforms (e.g., Canva, Adobe Express) is highly preferred, as well as comfort supporting rebranding and visual projects.
  • Self-Starter: Proactive, resourceful, and able to work independently with minimal supervision, consistently anticipating needs before they arise.
  • Tech-Savvy: Comfortable learning and implementing new systems or tools for scheduling, workflow management, file sharing, and client communication.
  • Bonus Skills (Preferred but Not Required): Experience using Notion and HoneyBook, as well as platforms such as WordPress, WooCommerce, Shopify, Etsy, and Google Workspace. Willingness to learn tools is highly valued.

Core responsibilities:

  • Administrative Support: Provide comprehensive day-to-day support with scheduling, email management, client communications, and maintaining organized records for photography sessions, design projects, and sustainable living initiatives.
  • Support Systems & Operations: Research, recommend, and implement efficient systems and tools to streamline workflow, client onboarding, project management, file organization, and delivery processes across both creative and service-based operations.
  • Creative Materials: Assist in creating brochures, flyers, and promotional content that align with each brand’s tone, helping showcase a cohesive, mindful aesthetic.
  • Design & Rebranding Support: Apply a strong eye for design to support rebranding efforts, ensuring all materials, visuals, and client-facing documents are consistent, professional, and reflective of each business’s creative identity.
  • Research & Sales Support: Conduct research on vendors, tools, and trends to provide recommendations that enhance business operations; assist with CRM management, expense tracking, and sales-related data entry in spreadsheets.
  • Creative Collaboration: Contribute ideas, give feedback, and actively participate in content planning, brainstorming sessions, and process improvement discussions; offering recommendations to elevate branding, workflow, and client experience.
