Job Title: Front Desk Executive
The Front Desk Executive serves as the first point of contact for customers, visitors, and stakeholders, ensuring a professional and welcoming experience. This role involves handling inquiries, directing guests, managing correspondence, and providing administrative support to various departments. The ideal candidate should be customer-oriented, well-organized, and possess excellent communication skills to represent the company’s brand effectively.
Key Responsibilities:
Customer Service & Reception Management
- Greet and welcome visitors, customers, and clients in a professional and friendly manner.
- Answer and direct phone calls, emails, and inquiries to the appropriate departments.
- Maintain a clean and organized reception area, ensuring a positive first impression.
- Provide accurate information about the company’s products, services, and promotions.
Administrative Support
- Manage incoming and outgoing correspondence, including emails, phone calls, and deliveries.
- Maintain and update visitor logs, appointment schedules, and meeting room bookings.
Office Coordination
- Ensure the reception area is stocked with necessary materials such as brochures, forms, and promotional materials.
- Coordinate with the facility management team to address maintenance or housekeeping needs.
Compliance & Security
- Adhere to company policies regarding visitor management, confidentiality, and security procedures.
- Work with security personnel to ensure only authorized individuals access restricted areas.
- Report any suspicious activity or security concerns to the appropriate authorities.
Requirements
- Bachelor’s degree in Business Administration, Hospitality, or a related field.
- 2+ years of experience in a front desk, customer service, or administrative role, preferably in an automobile or corporate setting.
- Excellent verbal and written communication skills.
- Strong interpersonal and customer service skills with a friendly and professional demeanor.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and office management systems.
- Ability to multitask, prioritize tasks, and work in a fast-paced environment.
- Strong problem-solving abilities and attention to detail.
- Ability to handle confidential information with discretion.
