Requirements:

  • Min 3.5 years experience in Previous experience in a healthcare receptionist or medical administration role
  • Strong verbal and written communication skills
  • High attention to detail and ability to manage confidential information
  • Experience using practice management systems (Xestro Doc) or similar CRM tools
  • Strong organisational and time-management skills

Core responsibilities:

  • Answer incoming calls and respond to patient enquiries in a professional and empathetic manner
  • Manage appointment bookings, confirmations, reschedules, and cancellations
  • Greet patients (in-person or virtually) and ensure a smooth patient journey
  • Maintain accurate patient records in Practice Management Software
  • Process basic billing, invoicing, and Medicare/private health payments where required
  • Assist the Practice Manager with daily administrative tasks and operational coordination
  • Support compliance documentation, policies, and record-keeping
  • Assist with onboarding of new staff and maintenance of staff records
  • Coordinate internal communications, rosters, and meeting notes
  • Prepare simple reports, spreadsheets, and summaries as required
  • Assist with managing the practice’s social media accounts (e.g. Facebook, Instagram)
  • Schedule posts using templates provided by the practice
  • Create basic social media content using Canva (e.g. promotions, health awareness posts, updates)
  • Respond to basic comments and messages in line with practice guideline
