Driver/Administrative Assistant
- Perform daily maintenance of vehicles using checklist.
- Ensure vehicles have adequate fuel for the planned daily trips.
- Hold and allocate vehicle keys as per vehicle booking log.
- Drive project staff to destinations for project activities as per approved plans
- Inform Finance and Operations Officer and Country Finance Manager of any damage, missing items from vehicles and when regular car servicing is required.
- Compile and submit vehicle monitoring reports (including mileage, fuel, and vehicle tracking analysis) monthly and as requested.
- Make deliveries of project materials, files, office supplies and equipment
- Provide other duties as assigned.
Administrative support:
- Provide targeted administrative support for country office day-to-day administrative tasks.
- Receive and check that deliveries from suppliers are complete, match documentation, and are not damaged.
- Provide support in printing, photocopying, delivering personal protective equipment (PPE) and site supplies, etc
- Check any maintenance, repair or item/equipment replacement needed for the project office and co-ordinate with the Programme and Operations Officer to arrange for repair or replacement.
- Assist in asset management by updating asset registers, tracking transfer of assets, labelling new assets, and asset disposal.
- Assist in stock management by updating stock registers with purchases, deliveries, organising and securing stocks, documenting stock usage, performing monthly stock counts, ordering supplies.
- Assist in branding/marking of required items.
- Provide front-desk support.
- Provide other duties as assigned.
Database Support:
- Ensure receipt and completeness of all reporting forms from site staff, follow up for missing information.
- Maintain filing system to ensure secure and organised storage of site reporting forms and other M&E documents.
- Enter data from reporting forms into DHIS2 databases. Â
Job Requirements
 Qualifications and experienceÂ
- Valid Driving License
- Diploma Level Education
- Experience doing similar work in an NGO setting.
- At least 5 year’s relevant professional driving experience
- Clean driving record
